We are looking for an experienced Assistant who is proactive, organised and collaborative to join us in our Sustainability, Corporate Affairs and Risk team, based in our HQ in Brussels, Belgium.

About the role

You will partner with two senior leaders and their teams, helping them work efficiently across a global environment. You will anticipate needs, manage competing priorities and provide accurate, high-quality administrative support with discretion. Working independently, you will coordinate calendars, meetings, travel, budgets and key projects, while using digital tools and effective ways of working to improve collaboration and follow-through.

Who you’ll work with

You will be working in a team that brings together Sustainability, Corporate Affairs, Enterprise Risk and Business Continuity. You will act as a trusted link between senior leaders, colleagues, external partners and assistants across the organisation. You will collaborate across locations, contribute to the wider assistant community and support newcomers so they can integrate smoothly.

What you’ll do

  • Manage complex calendars, appointments, correspondence, expense reports and selected travel, anticipating changes and ensuring leaders remain informed of commitments and priorities.
  • Coordinate internal and external meetings and events, including agendas, advance materials, rooms, catering, technical support, transport and virtual meeting arrangements.
  • Capture decisions and action items, assign clear ownership and follow up with participants to support completion within agreed timelines.
  • Act as a trusted communication link between leaders, teams and stakeholders, handling sensitive requests professionally and maintaining strict confidentiality.
  • Coordinate team budgets, purchase orders, invoices and expense submissions, ensuring accurate and timely follow-up.
  • Support key projects by monitoring documentation, deliverables, timelines and milestones, and communicating progress clearly to relevant stakeholders.
  • Use Microsoft 365 and Copilot tools to organise documents, share working drafts and improve team workflows and meeting effectiveness.
  • Support team engagement through onboarding, cross-location collaboration, team events and active participation in the organisation’s assistant community.

Interested? For this role we’re looking for the following education, experience and skills

  • At least five years of experience as an Assistant, supporting senior leaders in a complex and evolving environment.
  • Excellent planning and organisational skills, with the ability to manage multiple priorities, projects and stakeholders independently and meet deadlines.
  • Strong written and verbal communication skills, with the confidence and diplomacy to build effective relationships internally and with external partners.
  • High attention to detail, sound judgement and a consistent commitment to quality, confidentiality and responsible cost management.
  • Proficiency with Microsoft PowerPoint, Excel, Word, Teams, OneDrive, SharePoint and Copilot, together with curiosity about digital and artificial intelligence trends.
  • A proactive, reliable and adaptable approach, with the resilience to identify potential issues early and respond constructively to change.
  • Fluency in French, Dutch and English, both written and spoken.
  • Ability to travel independently and reliably to internal and external meetings, events and company sites across Belgium, including Braine-l’Alleud and Leuven.
