Job Purpose
Independently support the entire Kyowa Kirin DACH organisation in administrative, organisational, and logistical processes and to lead the Business Support department (including personnel management). The role helps ensure the smooth operation of all departments at all times through efficient workflows, proper and accurate execution, and coordinated collaboration
Responsibilities
Key Responsibilities:
- Independently handling tasks that arise within the Business Support department
- Ensuring compliance with legal regulations
- Ensuring the department’s sustained, smooth operation
- Collaboration with various companies (including facility management, event agencies, and tax firms)
- Organising, planning, and managing internal and external events for KyowaKirin DACH and support for local/national events
- Management of documents in DocuSign and Conga
- Creation and processing of purchase orders/invoice and purchase requisitions
- Creation, management, and review of all types of contracts related to Business Support tasks, as well as for other departments upon consultation
- Coordination with the respective line manager regarding cross-functional onboarding and training plans, including scheduling
- Reception including receiving and sorting letters and packages
Qualifications
Position Requirements
- Completed business or comparable training, as well as very good English skills
- Very good knowledge of MS Word, Outlook, PowerPoint, and Excel; knowledge of Veeva, Concur, and CRM systems is a plus
- High level of service orientation, self-organisation, and personal responsibility
- Strong technical understanding of processes, systems, and administration
- Ability to work in a team and willingness to collaborate across functions
- Position requires primary office presence (mandatory core hours in the office on Tuesdays and Wednesdays); hybrid work is possible on the remaining days of the week (working from home)
- Occasional travel and commuting, including overnight stays, as well as participation in national meetings and international conferences
