Johnson & Johnson is recruiting for Shockwave Medical Inc. a General and Administrative Coordinator (d/f/m) located in Germany - fully remote.

Position Overview

The G&A Coordinator (d/f/m) will provide coordinator support to the Office of the VP International and Country Managers, Legal, Human Resources and other functions as needed, including supporting the current administration team for the DACH region. This position has many varied tasks and requires the successful coordination of multiple duties with overlapping deadlines. Clear communication; discrete handling of confidential information; accountability; and performing a wide variety of complex and critical duties is essential.

Essential Job Functions

  • Coordination of International and Country Management activities – meeting scheduling, coordination of presentations, communications to team members in the International region and the USA and their administrative staff, uploading/downloading materials into the portal as appropriate.
  • Exhibition and internal team meeting coordination – confirmation of meetings, collection of required data to support the meeting, coordination of multiple schedules, clear and timely communication of scheduling milestones.
  • Coordination of Travel bookings and requirements as appropriate.
  • Coordination of All Employee Meetings, in partnership with HR, confirm schedules of VP International and other key presenters, schedule meetings, manage development of slide presentation, etc.
  • Prioritize and manage multiple tasks concurrently under aggressive timelines.
  • Arrange special meeting facilities; send meeting confirmation emails; prepare and distribute meeting materials.
  • Handle special projects for VP International office.
  • Additional administrative tasks as needed to support the business.
  • Support sales training including overseeing training logistics and record retention.
  • Employee may perform other related duties as assigned or negotiated to meet the ongoing needs of the organization.

Requirements

  • Fluency in English required, additional European languages desired.
  • three or more years’ experience in a high-level coordinator or event planning role.
  • BA/BS or equivalent experience.
  • Proficiency of the Microsoft Office suite (Word, Excel, PowerPoint).
  • Adapts to changes in the work environment while managing competing demands and is able to deal with frequent change, delays or unexpected events.
  • Highly motivated self-starter, proactive thinker, organized.
  • Advanced interpersonal skills, both verbal and written.
  • Confidence to interact with senior and executive level management.
  • Ability to work under pressure and with little supervision.
  • Identify sensitive information and maintain confidentiality with tact and discretion.
  • Contribute to a positive and innovative work environment.
  • Adhere to company policies, procedures and practices.
  • Ability to work accurately with close attention to detail.

Classification: Depending on experience and qualifications, this position is assigned to E10 or E11 (CBA Chemical Hamburg).
