Client Delivery Manager

Description

The Client Delivery Manager plays a central role in driving the successful delivery of healthcare communication projects. Acting as the internal orchestrator, you ensure that projects are executed on time, on brief, and within budget by aligning internal teams, managing resources, and maintaining process integrity. This role requires proactive coordination, strong communication, and a continuous focus on project hygiene and consistency.

Key Responsibilities:

Project Planning & Coordination

  • Collaborate with Account Management to anticipate upcoming projects and plan for delivery readiness.
  • Develop detailed project plans including effort estimations and timeline planning with input from internal teams.
  • Join client meetings to align delivery expectations and assess feasibility.
  • Set up projects in agency tools such as WRIKE, Oracle, and SharePoint.

Delivery Management

  • Lead the end-to-end execution of assigned projects, from kick-off through final delivery.
  • Coordinate internal teams and ensure smooth routing of deliverables through internal review milestones (e.g., creative, medical, quality).
  • Maintain and update project timelines and proactively flag risks or delays with proposed mitigation plans.
  • Recalibrate plans proactively in response to shifting priorities or delays.

Resourcing & Budget

  • Prepare project-level effort estimates (fees and OOPs) in collaboration with Account Management.
  • Ensure appropriate resource assignment across teams.
  • Track team utilisation and capacity; escalate resourcing issues early with potential solutions.
  • Monitor project budgets and burn rate; flag risks to delivery scope or profitability.
  • Support financial reporting both internally and externally.

Process & Documentation

  • Ensure adherence to internal processes and maintain WRIKE hygiene including task setup, status tracking, and document version control.
  • Keep internal trackers and documentation up to date across all assigned projects.
  • Contribute to project retrospectives and documentation of learnings.
  • Continuously monitor for workflow refinement and support implementation.

Collaboration & Team Contribution

  • Foster strong working relationships with cross-functional and external teams (e.g., creative, strategy, vendors) within the German business and within our European/global organisation.
  • Mentor junior team members and support continuous improvement in project hygiene.

Skills & Experience

  • 3+ years’ experience in a project coordination or junior project management role within a communications agency or similar business.
  • Solid understanding of agency processes, workflows and project types (creative, print, digital, congresses, social media etc).
  • Proven experience in timeline management, resource planning, and estimating project fees.
  • Good networking skills and ability to build relationships with external vendors and internal resources.
  • Excellent communication skills; confident in leading internal meetings and driving task clarity.
  • Skilled in project management platforms (ideally WRIKE) and financial systems such as Oracle.
  • Proactive, detail-oriented, and solution-focused mindset with the ability to perform under pressure.
  • Fluent in English; German language skills are a strong advantage.
